Heritage Records Consulting LLC (“HRC,” “we,” “us,” “our”) respects your privacy. This policy explains what information we collect through this website and our services, how we use it, and the choices you have.

Information we collect

  • Information you give us: your name, email, phone number, organization, and the details you share when you fill out a form, book an appointment, place an order, or contact us.
  • Payment information: payments are processed by third-party payment providers. We never see or store your full card number.
  • Website usage information: pages visited, device and browser type, approximate location, and how you found the site, collected through cookies and the site’s built-in statistics.
  • Records you hand us during a project: documents, photos, and files you provide so we can organize, scan, or preserve them.

How we use your information

  • To respond to you and schedule consultations and appointments
  • To provide, quote, and invoice services and fulfill orders
  • To send updates or newsletters, only if you sign up, with an unsubscribe link in every email
  • To understand how the website is used and improve it
  • To meet legal and record-keeping obligations, including notary requirements

Client records stay confidential

Documents and files you share for a project are used only for that project. We don’t sell, share, or review them for any other purpose. When the project ends, we return or securely delete digital copies unless we agree in writing to keep them (for example, under an Annual Maintenance Plan or Digital Archive Package).

Notary services

When HRC’s notary performs a notarization, we record the information Ohio law requires or recommends, which may include your name, the type of ID presented, and the document type. These records are kept securely for the period the law requires.

Who we share information with

We do not sell or rent your personal information. We share it only with:

  • Service providers that help run our business, such as WordPress.com (website hosting, forms, and statistics), payment processors, email providers, and cloud storage, each bound by their own privacy terms
  • Authorities when required by law, subpoena, or to protect someone’s safety

Cookies

This site uses cookies that are needed for it to work, plus cookies that help us understand visits. A banner tells you about cookies on your first visit. You can clear or block cookies at any time in your browser settings.

How we protect information

The site uses HTTPS encryption. Client files are kept in password-protected storage, and paper originals are handled carefully and returned to you. No method is perfectly secure, but we take reasonable steps to protect what you share.

Your choices

You may ask to see, correct, or delete the personal information we hold about you, or opt out of emails at any time. Email heritagerecordsconsulting@gmail.com and we’ll respond within 30 days. Some records (such as notary records and tax records) may need to be kept for legal reasons.

Children

This site is not directed to children under 13, and we do not knowingly collect their information.

Changes

We may update this policy. The effective date at the top shows the latest version.
