Terms & Conditions

Effective date: October 11, 2026

These terms apply to your use of this website and to services and products from Heritage Records Consulting LLC (“HRC,” “we,” “us,” “our”). By using the site or booking a service, you agree to them.

1. Services and quotes. Prices on this site are starting rates. Every project receives a written quote after a consultation, and work begins once you approve it. If the scope changes, we’ll give you an updated quote before doing additional work.

2. Payment. A deposit of 25% of the quoted price is due to schedule a project, with the balance due on completion. Hourly services are billed in 15-minute increments.

3. Rescheduling and cancellations. Please give at least 24 hours’ notice to reschedule or cancel an appointment. Deposits are refundable if you cancel at least 7 days before the project start date; after that, the deposit is non-refundable. Mobile notary travel fees are not refundable once we are on our way.

4. Your records. You keep full ownership of all documents, photos, and files you provide. You are responsible for giving us accurate information and keeping your own originals or backups of anything irreplaceable until a project is complete. We handle all materials with care, but we are not responsible for the existing condition of fragile or damaged items.

5. Confidentiality. We keep your records and information confidential as described in our Privacy Policy, except where disclosure is required by law.

6. Not legal, tax, or financial advice. HRC organizes and preserves records. We are not attorneys, accountants, or financial advisors, and nothing we provide is legal, tax, or financial advice. Please consult a qualified professional for those questions.

7. Notary services. HRC’s notary is a commissioned Ohio Notary Public, not an attorney licensed to practice law in Ohio. The notary cannot give legal advice, prepare legal documents, or select forms for you. Notary fees follow Ohio law. Signers must appear in person with valid, current, government-issued photo identification. The notary may refuse a notarization if identification is unsatisfactory, the signer appears not to understand the document or to be signing under pressure, or the request is otherwise improper.

8. Products and digital downloads. All product sales are final, including printable templates, digital downloads, kits, and custom products such as Family History Books and Church Anniversary Booklets. Please review your order and approve any proofs carefully before purchase or printing. If a product arrives damaged or a download doesn’t work, contact us and we’ll make it right. Printable templates and digital products are for your personal or organizational use and may not be resold or redistributed.

9. Website content. The text, logo, designs, and templates on this site belong to Heritage Records Consulting LLC. Please don’t copy them without permission.

10. Limitation of liability. To the fullest extent the law allows, our total liability for any claim related to a service or product is limited to the amount you paid for it. We are not liable for indirect or consequential losses.

11. Links to other sites. This site may link to other websites. We are not responsible for their content or privacy practices.

12. Governing law. These terms are governed by the laws of the State of Ohio. Any dispute will be handled in the courts of Cuyahoga County, Ohio.

13. Changes. We may update these terms. The effective date at the top shows the latest version.
